Job Description:

JOB OBJECTIVE:To provide clerical support for the Human Resources Department under the direction of the Human Resources Coordinator and the Vice President of Human Resources.ESSENTIAL JOB FUNCTIONS:

  • Maintain and update both computer and hard copy personnel files as needed.
    • Set up new employee files and enter employee data, keeping up on changes in processes.
      • Answer incoming calls for the Human Resources Department.
        • Greet applicants and assist them at the computer kiosks as needed.
          • Handle personnel inquiries and income verifications.
            • Assist new hires with I.D. badges, start day paperwork, etc., and update current employee badges as required.
              • Record and verify time worked, holiday, vacation, sick time, etc., for sales and production departments and assist departments in adhering to timekeeping, vacation, sick and holiday policies.
                • Assist with personnel reports and other projects as necessary.
                  • Assist with the ApplicantPro program management and file applications and interview notes.
                    • Verify vacation availability, vacation paid out, and approve vacation requests.
                      • Maintain supplies of all departmental forms and manuals as well as required correspondence.
                        • Keep department filing current.
                          • Fill in for Human Resources Coordinator as needed, including keeping up on changing new hire processes and data entry.OTHER JOB FUNCTIONS:
                            • Serve as a support for the Human Resources Department.
                              • Other tasks as assigned by supervisor.SPECIFICATIONS:
                                • High school diploma/GED.
                                  • Ability to accurately type 45 wpm.
                                    • Good English, spelling, and communication skills.
                                      • Proficient in use of Microsoft Word, Excel, Windows, Outlook, Mas200, Attendance On Demand, telephone, calculator and other miscellaneous office equipment.
                                        • Ability to handle people and information in a professional, caring and confidential manner, remaining calm in stressful situations.
                                          • Ability to multitask and handle interruptions without losing accuracy.
                                            • Ability to keep information confidential.
                                              • Ability to work independently in a busy job situation.
                                                • Good organizational skills.
                                                  • Ability to be accurate with details.
                                                    • Ability to sit upright in a chair and travel from one end of the building to the other several times a day.
                                                      • Good manual dexterity.ENVIRONMENTAL CONDITIONS:
                                                        • Normal office environment.
                                                          • Light industrial plant area with significant dust.EQUIPMENT USED:
                                                            • Computer.
                                                              • Telephone and switchboard.
                                                                • Scanner.
                                                                  • Copy machine.
                                                                    • Digital camera and badge printer.
                                                                      • Fax machine.
